AI automation for hotels in Sri Lanka: same-hour enquiry replies in three languages, confirmations and review replies, from US$1,225 a month with approval.

AI automation for hotels in Sri Lanka earns its place on three flows and nothing else: first replies to booking enquiries, booking confirmations with the pre-arrival message, and replies to reviews, every one of them drafted for a named person to approve before a guest reads it. The volume is the whole argument: the Sri Lanka Tourism Development Authority counted 2,362,521 arrivals in 2025, of which 258,928 landed in December alone, and a six-room villa feels that as an inbox rather than as a statistic.

Forty enquiries overnight, in three languages

Picture a six-room villa between Ahangama and Dickwella, one manager, a cook and two housekeepers. It is a hypothetical property, not a client.

On the first Tuesday of December she opens the phone at half past six. Overnight there are eleven WhatsApp messages, nine emails, fourteen in one OTA inbox, six in another, and a Google review posted at two in the morning by a guest who checked out on Sunday and never mentioned the shower to anybody while he was there.

Of the forty, about half ask the same four things: is the twenty-third free, does the rate include breakfast, how far is the beach, can you collect from the airport. Six are in German or French. Four are agents wanting nine nights at a rate she will not give.

She answers the OTA inboxes first, because those platforms count response time. By the time she reaches WhatsApp it is nine, and two of the eleven have booked somewhere else. Nobody was idle. The queue arrived in four places at once, at an hour when the property had one pair of hands. The season is not a feeling, it is a curve

The SLTDA’s Monthly Tourist Arrivals Report for July 2026 publishes the month-by-month table. In 2025 the country took 2,362,521 arrivals: 258,928 in December, 212,906 in November, 132,919 in the May trough. That is roughly twice the enquiry load in the high season as in the low one, handled by the same staff at the same desk.

The same report is honest about how unstable this is. Arrivals rose 9.7% in January 2026 and 16.2% in February, then fell 19.8% in March and 22.3% in April after disruption to air connectivity, and steadied in July at 196,845, 1.7% below July 2025. Cumulatively Sri Lanka took 1,343,418 arrivals from January to July 2026, about 1.8% below the same period of 2025.

Read that as a hiring argument. A queue that doubles in December and can drop a fifth in a month is a bad reason to add a permanent salary and a good reason to add something you can turn down again.

Three flows worth handing over

First replies to enquiries go first, because they are the ones that decay. The questions repeat, the answers live in your rate sheet and calendar, and the value is in the reply landing while the guest is still comparing three tabs. The agent produces a draft with the dates, the rate, what is included and one question back.

Booking confirmations and pre-arrival messages go second. The content barely varies: the confirmation, directions, the transfer offer, the message four days out asking for arrival time and dietary notes. Approve the template once and it runs.

Review replies go third, and they are the flow owners underrate. A reply that names the actual complaint, says what changed and does not argue is read by the next fifty people choosing between you and the villa up the road. We built Gelukkig around the harder half of that problem: give the manager a private window to fix a complaint before the guest posts, then invite every guest to review, promoters and detractors alike, rather than only the happy ones. Drafting the public reply is easy. Noticing the shower on the second night is what pays.

Which languages, and what tone

Let the arrivals data pick the languages rather than your intuition. In July 2026 the SLTDA counted India at 44,547 arrivals, 22.6% of the month, the United Kingdom at 21,834, 11.1%, the Netherlands at 12,493 and China at 12,336, 6.3% each, France at 10,102, 5.1%, Australia at 9,702, 4.9%, and Germany at 8,838, 4.5%.

English carries India, the United Kingdom, Australia and most Dutch guests. After that the honest shortlist is German and French, with Mandarin worth a template rather than a conversation. Three languages, not nine.

Tone matters more than translation. Guests forgive a short reply and not a wrong one, so our rule is that an off-hours reply may state availability, published rates, inclusions and directions, and must hand anything else to a person by name. Never let a system invent a discount at midnight to close a booking, because that is a pricing decision made by something nobody read first.

What Booking.com, Airbnb and Google actually allow

Owners assume the platforms forbid this. They do not, and two of them sell it themselves.

Booking.com announced Smart Messenger and Auto-Reply for partners on 9 October 2025, an agent that gathers partner, property and reservation information and lets partners define custom reply topics for instant answers to guest questions. Its partner help pages already cover templates and automatic replies for frequent questions such as parking, check-in and bed types, separating replies that fall inside your policy from those outside it. Airbnb documents quick replies and scheduled quick replies, templates with placeholders that send automatically on a new reservation, at check-in or at checkout.

Google is the one to read carefully. Its Business Profile help says Google reviews your replies to make sure they follow its content policies, usually within ten minutes and sometimes up to thirty days. A review reply is not a private message, it is published content a platform inspects, so keep the guest’s name, room number and any health or dispute detail out of it.

Two rules follow. Use each platform’s own messaging tools rather than bolting a second system onto an inbox that already has one, and read your OTA contract before you connect anything, because the commercial terms are where properties get hurt.

Where the manager still decides

Templates get approved once, in writing. Everything else is drafted and held: rate quotes outside the published sheet, group and long-stay deals, cancellations, refunds, damage, anything about safety, and every review reply. The approval rate, the share of drafts your reviewer sends untouched, is what we measure, and your people produce it, which is why we cannot polish it.

What it costs, in rupees

A support and sales agent, the roster post that fits a front desk, is US$1,225 a month, LKR 402,700, with a one-off recruitment fee of US$9,500, LKR 3,123,125, covering deployment, connection to your WhatsApp number, inbox and calendar, a 30-day probation with weekly scorecards and the first month’s salary. If the approval rate has not improved on its day-one baseline by day 30, you do not confirm the hire and the balance is never invoiced. The terms sit on the page where you hire an AI agent.

Now the sum. There is no Sri Lankan reservations wage we would budget from, since PayScale’s reservations manager page shows LKR 1,290,000 a year on data dated December 2021, so use the national figure. According to the Department of Census and Statistics’ Labour Force Survey Annual Report 2024, the mean monthly gross salary in services was LKR 62,176. Loaded with EPF at a minimum of 12% and ETF at 3% that is LKR 71,502 a month, about LKR 409 an hour over a 175-hour month. LKR 402,700 divided by LKR 409 is roughly 985 staff hours, and the table above tops out near 105, so this never pays as wage arbitrage.

It pays on bookings. Take the villa above at an average LKR 30,000 a night: ten extra confirmed nights a month covers three quarters of the salary, and in December the enquiries answered before nine decide it. Work out your own number from your own conversion rate before anybody quotes you a saving.

What to do this week

Count, do not shop. For seven days log every enquiry across all channels: the hour, the language, what it asked, who answered and how long they took. If more than a third arrived between eight at night and seven in the morning, you have found your flow, and it is the first reply.

Then write one page of rules for that flow alone: what may be quoted, what may never be quoted, three worked examples, and the line where a person must approve. Take that page to a provider before you take a demo from one. Questions people actually ask.

Can a hotel in Sri Lanka use AI to answer booking enquiries?

Yes, and first replies are the sensible starting point, because the questions repeat and the value is in the answer landing while the guest is still comparing options. Keep it to availability, published rates, inclusions and directions, and make every quote outside the published rate sheet a draft that the owner approves before it is sent.

Can AI reply to Booking.com messages?

Yes. Booking.com announced its own Smart Messenger and Auto-Reply agents for partners on 9 October 2025, and its partner help pages already document templates and automatic replies for common guest questions, split between replies inside your policy and outside it. Use the platform’s own tools where they cover the case, read your partner contract before connecting anything else, and keep a person approving anything about money.

Can AI answer Google reviews for a hotel?

It can draft them, and a person should approve them, because a review reply is published content rather than a private message. Google states that it checks every reply against its content policies before it appears, usually within ten minutes and sometimes taking up to thirty days, so keep guest names, room numbers and any health or dispute detail out of the text.

Assume they will, and write as though the reply will be screenshotted, because a guest misled once tells the review page rather than you. Say who is answering if asked, give a visible route to a named person within two messages, and never let an automated reply be the last word on a complaint, a refund or a rate.
